The short answer
To answer real estate leads in under a minute, stop depending on an agent seeing a notification. Bring every channel into one inbox, send an automatic reply the moment an inquiry lands with a link to book a viewing, assign the lead to an agent by rule, and put a clock on it so an unanswered lead is escalated.
Why does lead response time matter so much in real estate?
A buyer or renter who sends an inquiry is usually sending several, to several agents, on the same evening. The first useful reply sets the conversation; the third reply the next morning is often answering someone who has already booked a viewing elsewhere.
The research on online leads points the same way. A Harvard Business Review study found that firms which tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer, and more than 60 times as likely as those that waited 24 hours or more. An hour is the outer limit; a minute is achievable once nobody has to be watching their phone for it to happen.
Where do slow responses actually come from?
Slow replies are rarely laziness. They come from the way leads arrive and the way agents work.
- Inquiries arrive on WhatsApp, SMS, email, portals, ads and the phone, and each one is checked at a different time
- Agents are at viewings, driving or with a client when the inquiry lands
- Nobody owns a new lead until someone decides who should take it
- Evening and weekend inquiries wait for Monday
- The first reply depends on an agent remembering to send it
How do you answer every lead in under a minute?
The trick is that the first reply is not typed by a person. A person picks up the conversation once the lead already knows they have been heard.
- 1Route every channel into one inbox, with each inquiry tagged by where it came from.
- 2Write an automatic first reply that goes out the moment an inquiry lands — by SMS or WhatsApp, not just email.
- 3Put a booking link in that reply, so a serious buyer can choose a viewing time without waiting for anyone.
- 4Assign the lead to an agent by rule — by area, property, branch or rota — so it has an owner straight away.
- 5Start a clock on the lead. If the owner has not replied personally within your threshold, nudge them, then their manager, then reassign it.
- 6Schedule a follow-up for leads that do not answer the first message, so a quiet lead gets a second try without anyone remembering.
- 7Review a weekly report of response times by agent and by source, and fix the slowest channel first.
What should the first reply say?
An instant reply that reads like a robot is only slightly better than none. Keep it short, specific and useful, and give the lead something to do next.
| Weak first reply | Better first reply |
|---|---|
| "Thank you for your inquiry. An agent will be in touch." | "Thanks for asking about the flat on Mill Road. Sam looks after it — book a viewing here, or reply with a time that suits." |
| A generic email sent to every lead | A text on the channel they used, naming the property they asked about |
| No next step | A booking link, and a question that is easy to answer |
| Signed by "The Team" | Signed by the agent who now owns the lead |
What happens after the first minute?
The instant reply buys you time; it does not replace a conversation. The assigned agent should follow up personally the same day, and the lead should move into a pipeline stage so everyone can see where it stands.
After a viewing, keep the conversation going with details of the property, similar listings and a nudge if the contact goes quiet. Most lost leads are not lost to a better agent; they are lost to silence.
How does BittaFlow answer real estate leads?
In BittaFlow, WhatsApp, SMS, email and calls land in one thread per contact, and a portal inquiry, Google Ad or SMS arrives in the same inbox tagged with its source. A new inquiry triggers an instant SMS that acknowledges it and offers a booking link, typically within seconds of the inquiry landing. BittaFlow creates the contact, assigns it to the right agent and places it in a pipeline stage.
If there is no response after 24 hours, a follow-up goes out. Response-time rules put a clock on every new lead, with per-stage thresholds counted in business hours: past the threshold it warns the owner, then escalates to their manager, then reassigns to whoever is free, and a morning digest lists everything that breached.
- Viewing booking links per agent or property, with reminders sent automatically
- Post-viewing nurture with property details and similar listings
- GA4, Google Ads and Search Console connected, to see which ads drive actual viewings
- The AI receptionist answers calls agents cannot take and books from the calendar
- Response-time rules are included on Pro Growth or $19 a month on their own; the real-estate deal desk (listings, offers and commission) is included on Pro Growth or $39 a month
What should you ask a CRM vendor about speed to lead?
Ask them to demonstrate each of these live, with a test inquiry you send yourself.
- Which channels arrive in the same inbox, and is the source recorded?
- Does the first reply go out automatically, and on which channel?
- How is a new lead assigned, and can rules differ by branch?
- What happens if the assigned agent does not reply — is there escalation, or just a report?
- Can I see response time by agent and by source?
